ADMINSTRATIVE SERVICES CLERK
Pay Grade: A12 FLSA Status: Non-Exempt Job Group: Clerical/Technical (A) Class Code: A009 Effective Date: 7/01 Revision Date: 8/03, 7/05
Classification Summary: The primary function of an employee in this class is to perform a variety of clerical and secretarial tasks in support of the Administrative Services Division. This position prepares routine correspondence, creates and maintains the divisions filing system and compiles records and accounting information into a computerized database.
Essential Functions: Essential Functions are not intended to be an exhaustive list of all responsibilities, duties and skills. They are intended to be accurate summaries of what the job classification involves and what is required to perform it. Employees are responsible for all other duties as assigned. Picks up and delivers mail, inter-office correspondence, completed print orders, library books, etc.; Inserts utility bills, sales tax bills and employee payroll checks into envelopes; Receives and distributes all UPS, FedEx and Airborne shipments; Operates a variety of reproduction and related equipment; Sorts and files correspondence, checks, vouchers, index cards, forms, documents, or other materials, numerically, alphabetically or by some other predetermined system; Stores and retrieves warehouse materials and office supplies for in-shop use; Assists in maintaining personnel, vehicle, perpetual inventory, licenses or other records; Operates postage machine and scale; places correct postage on all outgoing mail; Answers phones occasionally, and deals with the public on a routine basis; Collates and staples large amounts of paper in the completion of orders; Performs all work duties and activities in accordance with City policies, procedures; Works in a safe manner and reports unsafe activity and conditions. Follows City-wide safety policy and practices and adheres to responsibilities concerning safety prevention, reporting and monitoring as outlined in the City’s Safety Handbook.
Knowledge, Skills and Abilities: Knowledge of: General office operations including, use of office equipment, personal computer, telephone, fax machine, etc., as required by the position; English grammar, spelling and punctuation; Modern filing systems related to alphabetical and numeric files.
Ability to: Process simple arithmetic calculations accurately; Learn the operation of non-complex equipment in a print shop; Establish and maintain effective working relationships with department personnel, city officials, and the general public; Operate general office equipment such as a telephone, fax machine, and copy machine as required by the position; Read, comprehend, and follow simple oral and written instructions; and to understand and apply available guidelines to varied operational requirements; Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines; Demonstrate integrity, ingenuity and inventiveness in the performance of assigned tasks; Operate a personal computer using program applications appropriate to assigned duties; Communicate effectively both orally and in writing, with the public and other employees.
Supervision Received: Work is performed under the supervision of the Administrative Services Supervisor.

Minimum Qualifications: High school diploma or GED equivalency; and Valid State of Arizona Driver’s License; or Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
Work Environment: The primary duties of the position are performed in a general office environment with some exposure to outdoor weather conditions while transporting between City locations.
Essential Physical Abilities: Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to communicate effectively on the telephone and in person; Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to review, evaluate, sort, file, and prepare a variety of written/typed documents and materials for distribution; Sufficient manual dexterity with or without reasonable accommodation, which permits the employee to operate a vehicle, operate computer equipment and other specialized high volume reproduction equipment; Sufficient personal mobility and physical reflexes, with or without reasonable accommodation, which permits the employee to bend or stoop repeatedly, sit or stand for extended periods of time, lift at least 60 pounds and occasionally work outdoors.
ADMINISTRATIVE SERVICES SPECIALIST
Pay Grade: A14 FLSA Status: Non-Exempt Job Group: Clerical/Technical (A) Class Code: A035 Effective Date: 7/01 Revision Date: 8/03; 04/04; 7/05
Classification Summary: The primary function of an employee in this class is to perform skilled technical work, which includes personal computer layout design and operation of a variety of reprographic equipment. This position also coordinates projects and assists customers in the correct methods of accomplishing large and varied mailings and other various tasks.
Essential Functions: Essential Functions are not intended to be an exhaustive list of all responsibilities, duties and skills. They are intended to be accurate summaries of what the job classification involves and what is required to perform it. Employees are responsible for all other duties as assigned. Operates a personal computer for the creation of reprographic artwork and completion of correspondence and reports; Operates a variety of high speed and high volume reproduction equipment, which includes offset duplicator, plate makers, collator, paper cutter, binding machines, etc.; Coordinates with and educates customers on the proper elements of mailings and print jobs; Performs routing and preventative maintenance and cleaning of equipment used in the City’s print and mail center; Sorts and files office correspondence, forms, documents, or other materials, numerically or alphabetically; May calculate print/copy charges and maintains related records and logs as required; Processes and expedites mailings through FedEx, Airborne, UPS, etc.; May sort and deliver mail throughout City departments and offices; Orders and maintains inventory of office supplies; Performs all work duties and activities in accordance with City policies, procedures; Works in a safe manner and reports unsafe activity and conditions. Follows City-wide safety policy and practices and adheres to responsibilities concerning safety prevention, reporting and monitoring as outlined in the City’s Safety Handbook. Knowledge, Skills and Abilities: Knowledge of: The operation of a personal computer and offset duplicator; Business English, spelling, grammar and punctuation; Office procedures and practices.
Ability to: Learn the operation of non-complex equipment in a print shop; Set workflow and job priorities; Make simple arithmetical calculations rapidly and accurately; Comprehend and follow oral and written instructions; Operate a personal computer and related software; Establish and maintain effective working relationships with supervisor, co-workers, the public, etc.; Provide quality services in a cost-effective manner and to recommend improved methods of performing the work.
Supervision Received: The work is performed under the supervision of the Administrative Services Supervisor.
