ASSISTANT ARTS CENTER MANAGER
Pay Grade: 25 FLSA Status: Exempt Job Group: Managerial (M) Class Code: A076 Effective Date: 08/05
Classification Summary: The primary function of an employee in this class is to perform highly responsible managerial work developing procedures, programs and practices of the Arts Center Division; managing the facility schedule and programming events; serving as liaison with rental groups and contracted artists; overseeing front- of- house operations; and providing customer service to facility stakeholders such as the City of Chandler, Chandler Unified School District and Chandler Cultural Foundation; and the public.
Essential Functions: Essential Functions are not intended to be an exhaustive list of all responsibilities, duties and skills. They are intended to be accurate summaries of what the job classification involves and what is required to perform it. Employees are responsible for all other duties as assigned. Intake all facility scheduling inquiries; Manages the facility’s scheduling by coordinating scheduling of events with the Chandler Cultural Foundation, rental groups or individuals, City departments and officials, and the Chandler Unified School District liaison; relays information to appropriate staff members; Coordinates Art Center events programming by performing program research to determine cost, availability, technical feasibility, and artist references; Develops show budgets to determine profit/loss potential and submits budgets to Chandler Cultural Foundation Board of Directors for review; upon approval, prepares formal written offers to agents and negotiates counteroffers; Submits offers to artist agents and reviews artist contracts upon receipt to ensure compliance with offer; submits reviewed artist contracts to Arts Center Manager for signature; Prepares contracts for and coordinates all rental activities; facilitates rental settlements; Administer artist contracts, arranging payments as scheduled, hotel, hospitality, ground transportation, merchandise, security, facilities needs and other logistics as needed; Arranges fire watch and off duty police as needed; Oversees front- of- house operations. Supervises Box Office Supervisor, Concessions Coordinator and Volunteer Coordinator. Supervises Parking Coordinator when parking services are needed; Coordinates front of house set-up needs for City, Rental and Foundation events; Handles ticketing needs and complaints in the absence of the Box Office Supervisor; Assists in marketing promotions and development; Schedules and conducts Arts Center tours; Serves as facility representative at Center board and committee meetings; Serve as liaison with Programming Committee; Coordinates hospitality for board and committee meetings; Makes other presentations and reports to the Board and other City functions as needed; Prepares weekly schedules for front of house and administrative staff; Serves as facility representative at events, including emergency plan activation if needed, and handling patron complaints Conducts patron surveys, compiles data, reports findings, and makes recommendations to the Board of Directors and appropriate staff; Works in a safe manner and reports unsafe activity and conditions. Follows City-wide safety policy and practices and adheres to responsibilities concerning safety prevention, reporting and monitoring as outlined in the City’s Safety Handbook.
Knowledge, Skills and Abilities:Knowledge of: Performing arts, including, theatre, dance, classical and contemporary music, and ethnic arts; Standard theatre operating procedures, including event management, box office administration, and audience development; Marketing, advertising, and public relations methodology for the arts; Municipal budget preparation and administration; English grammar and punctuation; General office practices and procedures.
Ability to: Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines; Demonstrate integrity, ingenuity, and inventiveness in the performance of assigned tasks; Handle daily facility scheduling duties; Research performances, communicate with artist agents and develop season performance schedule; Prepare performance budgets; Review and administer artist contracts; Answer patron complaint correspondence; Plan, organize, and coordinate the work of a large group of employees performing various tasks; Communicate effectively, both orally and in writing; Operate a personal computer with job-related software; Establish and maintain effective working relationships with fellow employees, City officials, and the public; Work varied hours, including evenings and weekends. Supervision Received: The work is performed under the supervision of the Arts Center Manager.
Supervision Exercised: Supervision is exercised over the Box Office Supervisor and other Arts Center staff.
Minimum Qualifications: Bachelor’s Degree in Arts Administration, Theatre or related field; and Four (4) to six (6) years of previous experience with the operation of non-profit theatre or multipurpose arts centers, with an emphasis in patron services; or Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
Work Environment: The primary duties of this class are performed in a general office environment.
