BOX OFFICE ASSOCIATE
Pay Grade: A10 FLSA Status: Non-Exempt Job Group: Clerical/Technical (A) Class Code: B023 Effective Date: 8/07
Classification Summary: The primary function of the position is to assist in the daily operations of the box office, and serve as a support to the Box Office Supervisor; understand and operate the Chandler Center for the Arts computerized ticketing system; provide information regarding performance time schedules, location of events, and pricing and seating arrangements; explain about box office policies, answering questions, and resolving routine problems regarding ticket sales; perform cash handling and cash drawer reconciliation; customer service for patrons and clients.
Essential Functions: Essential Functions are not intended to be an exhaustive list of all responsibilities, duties and skills. They are intended to be accurate summaries of what the job classification involves and what is required to perform it. Employees are responsible for all other duties as assigned. Answers incoming phone calls, processes sales of subscription and single admission tickets over the phone, in person and by mail; Provides information in person or by phone regarding performance time schedules, locations of event and various pricing and seating arrangements; Serves at a cashier window; manages selling window and will call window on the ‘night of’ events; Responds to routine inquiries and complaints; answers telephone and walk-in requests for ticket sales and information regarding the CCA and upcoming events; Prepare the cash drawer for daily use; receives and verifies monies from previous day; Prepares and reconciles cash drawers and daily receipts for bank deposits; records daily accounting transaction information; Updates customer database, for prospective patrons, as well as help create and maintain database for current season and single event ticket holders; Runs daily sales journals, posts and balances monies from both TM Classic & Archtics; Prepares a variety of reports (i.e. ticket sales, audits, complimentary tickets etc.); Organizes and manages yearly file folders for events; Manages creation of seating manifests/maps for all sellers/locations; Updates current event information in promotional material locations; Reviews work for continuous process improvements; recommends and assists in the implementation of policies and procedures; Applies customer service principles; Maintains and orders supplies used within the box office. Performs all work duties and activities in accordance with City policies, procedures; Works in a safe manner and reports unsafe activity and conditions. Follows City-wide safety policy and practices and adheres to responsibilities concerning safety prevention, reporting and monitoring as outlined in the City’s Safety Handbook.
Knowledge, Skills and Abilities: Knowledge of: The operation of personal computer and various software applications for word processing, spreadsheets, etc.; English grammar and punctuation; Modern office practices and procedures; Automated ticketing systems.
Ability to: Maintain important records efficiently and accurately and to prepare clear and concise reports; Operate a variety of standard office equipment; Maintain effective working relationships with other City employees, supervisory personnel, state and local elected officials and the public; Operate a personal computer and related software such as word processing, spreadsheets, etc.; Communicate effectively both orally and in writing; Use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions.
Supervision Received: The work is performed under the supervision of the Box Office Supervisor or a designated supervisor.

Minimum Qualifications: High school diploma or GED equivalency; Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
Desirable Qualifications: Automated ticketing software, ticket sales and/or customer service experience.
Work Environment: The primary duties of this class are performed in a general office environment.
Essential Physical Abilities: Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to communicate effectively on the telephone and in person; Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to review documents and file them in a prescribed order, and organize documents and materials; Sufficient manual dexterity with or without reasonable accommodation, which permits the employee to operate a personal computer and other office equipment; Sufficient personal mobility and physical reflexes, with or without reasonable accommodation, which permits the employee to work at a keyboard for an extended period of time in an office environment.
