Job Description
COURT SERVICES SUPERVISOR

Pay Grade: 22                    FLSA Status: Exempt
Job Group: Supervisory (S)            Class Code: C032

Classification Summary:
The primary function of an employee in this class is to supervise, coordinate and participate in the work of clerical staff and courtroom personnel engaged in the processing and accounting of traffic and criminal complaints and for the administrative and clerical functions and monetary transactions of the court.

Essential Functions:
Essential Functions are not intended to be exhausted lists of all responsibilities, duties and skills. They are intended to be accurate summaries of what the job classification involves and what is required to perform it. Employees are responsible for all other duties as assigned.
Supervises, trains and evaluates the work of subordinate personnel;
Oversees courtrooms to ensure that all courtroom functions are properly staffed and that paperwork is processed in a timely manner;
Ensures that all active and inactive case files are properly created, processed, maintained and secured using Arizona Supreme Court’s Case Processing Standards;
Assists with cash management tasks using policies, procedures and general accounting standards issued by the Supreme Court;
Develops and implements office policies and procedures and revises/updates existing policies and procedures;
Prepares monthly and quarterly statistics of all civil, criminal and traffic complaints filed and terminated at the court;
Supervises the activities of assigned clerical and courtroom personnel;
Processes all vacation and sick leave requests made by court staff;
Oversees contract security personnel;
Assists with facility management issues;
Oversees purchase order preparation and monitors supplies;
Gives information on court policies and procedures to the general public;
Oversees annual purging of case files by court staff following the Records Retention schedules set down by Arizona Supreme Court;
Performs all work duties and activities in accordance with City policies and procedures;
Works in a safe manner and reports unsafe activity and conditions. Follows City-wide safety policy and practices and adheres to responsibilities concerning safety prevention, reporting and monitoring as outlined in the City’s Safety Handbook.

Other Duties and Responsibilities
Assists court clerks and other court personnel as needed.

Knowledge, Skills and Abilities:
Knowledge of:
Supervisory and management practices and techniques;
Processing citations, warrants, summonses and other matters common to the courts;
Municipal court accounting systems and procedures;
City, state and federal laws related to the courts;
Jury and facility management;
Operation of a personal computer and software applications for word processing, spreadsheets, databases, court information files, and related records;
English grammar, spelling and punctuation.

Ability to:
Supervise, train and evaluate the work of subordinate personnel;
Communicate effectively, verbally and in writing;
Perform independent research;
Develop and implement training methods;
Implement program policies, procedures and standards;
Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals;
Operate standard and specialized office equipment including a personal computer using program applications appropriate to assigned duties, calculator, copy machine, transcriber, portable barcode readers, facsimile, and related equipment;
Maintain a professional demeanor during stressful situations;
Establish and maintain effective working relationships with the public, attorneys, staff, court personnel, and interested and affected parties;
Respond to citizen requests in a courteous and effective manner;
Make sound and reasonable decisions in accordance with laws, ordinances, regulations and established procedures;
Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines;
Demonstrate integrity, ingenuity and inventiveness in the performance of assigned tasks.

Supervision Received:
The work is performed under the supervision of the Court Administrator and/or Deputy Court Administrator.

Supervision Exercised:
This position exercises supervision of Court Support staff.

Minimum Qualifications:
High school diploma or GED equivalency, preferably supplemented by college courses in criminal justice or related field; and
Three (3) to five (5) years of progressively responsible experience in a Municipal Court environment with one (1) year of supervisory experience; or
Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.

Work Environment:
The principal duties of this class are performed in a court and general office environment. This position responds to and resolved difficult or sensitive customer inquiries or problems, including dealing with hostility, in a fair, tactful, and professional manner.

Essential Physical Abilities:
Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to discern verbal instructions and communicate effectively on the telephone and in person;
Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to comprehend written work instructions, review, evaluate, prepare and file a variety of written/typed documents and text materials;
Sufficient manual dexterity with or without reasonable accommodation, which permits the employee to operate computer equipment and other office equipment and make adjustments to equipment;
Sufficient personal mobility, flexibility, and balance, with or without reasonable accommodation, which permits the employee to work in an office environment, lift up to 20 pounds, and to sit and work at a keyboard for an extended period of time.
